The challenge:


The Arrangers was selected by the Denver CVB to provide DMC services for PCMA's Education Conference. One of the critical parameters was the exclusive use of bureau members and the ability to incorporate vendors that were willing to provide discounted and/or complimentary products/services in exchange for this marketing opportunity. We were simply not able to go to our trusted event partners, but had to negotiate with and rely on vendors that we were not as familiar with. This took extra time in the proposal and contracting stages, as well as the confirmation and delivery of services to be sure that everything was going to be perfect!


Our plan:


Ultimately, we provided a pre-convention tour, transportation to the VIP/Board dinner, production of the Opening Welcome Reception and the Closing Networking Reception. Services included various modes of transportation, event design and décor, interactive event activities, F&B, staffing and overall event management. The iconic Denver Art Museum welcomed attendees to the “Art of the Party” where they experienced art in nearly every element... from culinary creations and edible art to award-winning artistic performances. The closing event took guests back in time via our "Sunset and City Lights Speakeasy." High above the streets of Denver, guests enjoyed the best of the roaring twenties and with innovative and modern twists on nostalgic event favorites.


Our solution:


We managed the master budget for each of the events and provided staffing support for VIP transportation, event transportation, tours and events. We were able to provide added value in many cases by both introducing new members to our CVB as well as negotiating significantly reduced options, and in some cases both. In total we were able to provide over $100,000 in savings! In addition, we got creative in providing the essential ROI everyone was looking for; from branded photo opps and recycling stations at the welcome reception to custom poker chips, cigar bands and lounge areas within the closing event. Everything was deemed a complete success!
