'Wildflower Welcome'

Our pharmaceutical client came to us with a big task and grand vision: to transform an underground meeting space into a field of wildflowers. The overall goal of this program was to bring guests together for an educational seminar and demonstration on the pharma company’s newest product line, as well as re-educate attendees on their other product lines.
This was to be accomplished in a three-day program with two waves of attendees. The client’s vision was for the entire ballroom to “grow” from floor to ceiling with greenery and florals. The vision also included converting the foyer into a scenic activation area that focused on engaging the attendees to recap the benefits of their additional product lines. Each activation’s look was designed to play off a product’s specific branding colors.

The Challenge
How do you transform an underground ballroom into a field of wildflowers, simultaneously creating two separate events in the same room, with different ambiances for day and night, without being able to flip the room after it is set? On top of that, make sure those florals will last through a three-day, two wave meeting! The bar was set impossibly high...





The Solution
The main WOW-factor for the program focused on the ballroom, where all daytime meals and an evening gala dinner would take place for both waves. The main challenge was that once we set the room, we would have no opportunity to flip it for the gala dinners. We had to focus solely on lighting to transform the room from a daytime to evening look.




We covered the entire ballroom floor with seamless white flooring to provide the room with a blank canvas. From there, we brought in a floral installation to hang from the ceiling, floral walls, and photo backdrops surrounded by “growing” florals at the base of each wall, a custom branded neon logo, mirrored furniture to reflect the florals from every angle, and beautiful gold and white furniture groupings to tie the entire room together.

'Hail Mary' (Interactive) Annual Meeting

With COVID-19 government mandated capacity limits making the originally contracted city unworkable, we found ourselves on the receiving end of a 900-person “Hail Mary” annual meeting. This multi-faceted three-day program (including multiple off-site and onsite events, transportation, six tours, shopping shuttles, and VIP airport transfers) had to be proposed, planned and executed within less than 90 days. Our goal was to provide interactive events and activities that promoted togetherness and FUN after a long year of quarantine.

Day 1:
The first night’s Oktoberfest Y’all themed welcome event at Gilley’s Dallas was full of festive German-style décor. From blue and white pennant flags and string lights hanging from the ceiling to a custom German-themed menu, every aspect of the event highlighted this whimsical theme. Guests were greeted by a strolling accordionist in traditional lederhosen and custom arrow signage pointed them in the direction of all the possible activities. We used a combination of rounds and communal tables to replicate a traditional German beer hall. Each table had either beer growler or beer bottle centerpieces that contained Blue Cornflower, the national flower of Germany.
In one room, we had two beer experts leading tastings on both German and local Texas beers at a large wooden craft bar with lit marquee letters spelling “PROST” (“Cheers!” in German) mounted on top. Another room was used as a game room with custom cornhole, shuffleboard, and horseshoes. This room featured a “lounge-y beer garden” vibe using company branded hedge walls and tasteful rattan garden furniture.

Days 2 & 3:
On days two and three we provided tour and activity options for VIPs and guests of attendees. Tours included a trip to Waco for the “Chip and Joanna Gaines treatment”, a local BBQ and Beer tasting tour of the city, and visits to popular history and science museums. Shuttles to two of Dallas’s hottest shopping destinations were also provided on both days.
On the second night, we provided décor, entertainment, and dessert for an after dinner event on the Omni Lawn. We provided glowing furniture, décor, games, and additional lighting that brightened up the lawn with a beautiful glow. Guests played games, mingled, and enjoyed the sounds of Rockestra while they snacked on frozen treats from our liquid nitrogen ice cream bar and popsicle cart.

AT&T STADIUM FIELD EVENT
Nominated as a part of Best Overall Program, AT&T Stadium served as the backdrop for this interactive closing event. Upon arrival at the final night’s event at AT&T Stadium, guests were given the VIP treatment: They entered the stadium amid smoke, lights, the Dallas Cowboys drumline, and getting to see themselves projected on the jumbotron. Punt, pass, kick, and throw contests allowed guests to test their football skills. During dinner the client surprised attendees with an appearance and motivational speech by famous Cowboys great, Emmitt Smith. It was truly a show stopping “WOW” final night to an action-packed program!

Laurie Sprouse, CITE, DMCP, CMP
Laurie Sprouse, CITE, CMP, DMCP, is the co-founder and President of Ultimate Ventures, a DMC Network Company she launched in 1993 with business partner and lifelong friend Val Lenington. Over the past three decades, Laurie has helped grow Ultimate Ventures into one of the most respected destination management companies in Texas, earning numerous industry accolades and awards, including recognition as the “Best Meeting & Event Planning Company” in Texas and one of the top DMC brands in the world.
A recognized visionary and advocate for the destination management profession, Laurie was named ADMEI’s “Destination Management Professional of the Year” in 2010 for her leadership in securing landmark Texas legislation that established the nation’s first legal definition of a Qualified Destination Management Company and protected Texas DMCs from harmful taxation changes. In recognition of her lifelong contributions to the industry, she was inducted into the ADMEI Hall of Fame in 2025 and received the DMC Network’s prestigious Founders Award in 2024.
Laurie is a respected thought leader, educator, and mentor. She co-authored the transportation chapter in ADMEI’s Guide to Destination Management textbook and has spoken for leading industry organizations including ADMEI, SITE, and MPI. She was among the charter group to earn the Destination Management Certified Professional (DMCP) designation, was the first Certified Incentive Travel Executive (CITE) in Texas, and founded the SITE Texas chapter, which has grown into one of the most successful SITE chapters in the world.
Beyond her professional accomplishments, Laurie is known for her servant leadership and commitment to strengthening the meetings and events industry. She founded the Texas Live Events Coalition during the pandemic, serves on the Visit Dallas Leadership Council, and continues to mentor future industry leaders. Her passion, advocacy, and generosity have left a lasting impact on colleagues, clients, and the destination management profession nationwide.
